Microsoft Excel Tutorial Page Breaks, Headers and Footers

To Insert a Page Break

If you are working on Excel Workbook and you are not satisfied with default page size of Excel, you want to break a page from a specific place. Excel provides you an option of Page Break. You can separate Excel page Vertically or Horizontally, Vertically Page Breaks separate columns and Horizontally Page Breaks separate rows. We will see how to insert a horizontal Page Break.

1. To view your workbook in Page Break mode find page break Preview option from the bottom Right of Excel Workbook.

2. After selecting Page Break Preview you will see your workbook in Page Break mode. Now Select the row where you want to insert page break. For example you want to insert a page break between row 10 and 11, you have to select row 11.

3. Now click on PAGE LAYOUT and you will see several option there like Margins, Orientation, Breaks and Print Titles. Select Breaks option and click on Insert Page Break.

4. After you click on Insert Page Break, you will see that a line of blue color has been appeared above row 11 and below row 10, that means Page Break has been inserted. Above the blue line is Page 1 and below the blue line there is Page 2.

5. If you want to insert a vertical page break, select any column before where you want to insert page break. For Example you want insert a Page Break between column E and column F, then select column F.

7. To insert a Page Break again click on PAGE LAYOUT tab and in Breaks option click on Insert Page Break.

8. After Clicking Insert Page Break, you will see a Page Break has been inserted between column E and column F.

This was a Basic intro to Page Breaks and how to insert a Page Break anywhere in you want.

Headers and Footers

If you are working on a workbook and you want your workbook to look professional, Header and Footers will help your workbook to look professional. Header is Top section of your workbook and Footer section appears in bottom margin. There is some information you can show in Headers and Footers like Workbook Title, Data and Page Number.

1. To insert Headers and Footer you have to view your workbook in Page Layout mode. Locate and select Page Layout mode from bottom right corner of workbook.

2. After selecting Page Layout view you will see your workbook in a changed view as shown in figure below.

3. Now you can modify any Header or Footer of any page you want. We will modify Header of Page 1, after clicking on Header a Header & Footer toolbar will appear on top ribbon.

Excel uses same tools to modify Header & Footers as MS word.
