Excel Tips Tutorial: Understanding and Applying Themes in Excel

Excel offers document themes that you can apply to your Excel workbook. Document themes change the overall formatting options such as the font, font size, theme colors and other formatting attributes. For example, when you click the color fill drop-down arrow a menu will appear with a group called Theme Colors. These colors are dependent on the kind of theme you applied to your Excel workbook. Themes also change the preformatted Cell Styles that you can apply to a range of cells within your themed workbook. Instead of trying to explain Excel themes, it is easier to just show you with an example.

Below I have provided an image of an image of an Excel workbook that contains a sales report table and a bar chart. The theme applied is the default Office theme. I didn’t add any formatting at all. The style of the table and the chart was applied by default.

Below I applied the preformatted “Slice” theme. Notice how the change in the style of the workbook. I have not made any formatting changes whatsoever; I simply applied a new theme.

How to Apply Themes in Excel

To apply a theme in Excel go to Page Layout, locate the Themes group and click on the Themes command. A drop-down menu will appear offering you different preformatted themes for you to choose. Click on the Excel theme of your choice and it will be applied to your entire Excel workbook.

Excel Tutorial Theme Colors


When you apply themes it will make changes to some previously made formats such as fill color and font color. When a new theme is applied, there are new theme colors and new preformatted Cell Styles. For a clearer understanding take a look at the images below. On thee left I click the down-arrow on the Color Fill command while the default Office theme was applied, and on the right I did the same thing except the slice theme was applied. Notice how the available colors have changed. The same happens to available preformatted cell styles, chart styles, table styles, word art styles and more.

Making Custom Changes to Themes

Notice that there are other options in the themes group. You can use these options to change individual component of a theme. You can change the color, font style and size and the effects that are applied to graphics such as WordArt and Charts. These changes will not actually change the theme default, they will only change what is applied to your current workbook. If you were to switch to a new theme and then switch back the original default font, color and effects would be applied.
