Excel For Noobs Tutorial: Conditional Formatting Introduction

We are going to continue adding to our sales report and forecast by using a few additional features offered by Excel 2007, 2010 & 2013. In this tutorial we are going to introduce conditional formatting. Conditional formatting is a tool that applies formats to Excel if and when a certain condition exist. For example, I could use conditional formatting to apply the red color fill format to a cell if the content within the cell is a numeric value that is < 1 and if the numeric value is > 1 I could use conditional formatting to apply the green color fill to a cell. Instead of explaining this with words, letís do it with an example.

Hopefully you still have the sales report & forecast that you created in the last tutorial. If not you will be able to get the idea by simply watching.

Adding Conditional Formatting to Cells

Step 1: Select cells E4 through E12.

Step 2: In the Home ribbon locate the conditional formatting command which is located in the Styles group. Click on the conditional formatting button and you will see a list of different conditional formatting tools. From this list hold your cursor over Highlighted Cells Rules and then click on Less ThanÖ. A dialog box should appear asking for more information.

Step 3: In the Less Than dialog box you will see two areas where Excel wants to gather more information. In the box that says Format cells that are LESS THAN enter 0 and in the list of available formats select Light Red Fill with Dark Red Text.

Remove Conditional Formatting Rule

Step 1: Select cells E4 through E12.

Step 2: Click on the conditional formatting button and select Clear Rules and from the Clear Rules List select Clear Rules from Selected Cells.

Conditional Formatting in Excel 2013

Excel 2007, 2010 and 2013 are all very similar, and most of our tutorials will work for all versions. However, there are a few features that Excel has introduced in the 2013 version that 2010, and 2007 donít have. Follow the steps below to learn one of the new Excel 2013 features.

Step 1: Select cells E4 through E12.

Step 2: On the bottom right of cell E12 you will see a box appear called the Quick Analysis box. This box analyzes your data and offers recommendations for formatting, charts, formulas etc.

Step 3: Click on the Quick Analysis box and select Formatting from the Quick Analysis dialog box. In this dialog box Excel 2013 offers you some recommended formats. Scroll over the different recommended formats and select the format that best fits your data.
